On-site digitisation.
Collections too fragile, too large or too precious to move: we set up our production workstations right on your premises.
Vos locaux, notre atelier.
Installation, calibration and start of production take just a few days. We deliver a complete workshop, scanners, computers and lighting, and our mobile tent studios even make it possible to photograph objects and fragile pieces in the rooms of monuments and museums.
The same protocol as in the workshop applies: preparation, validation test, capture, image-by-image quality control. We can also train your local teams in our procedures, in France and abroad.
What we handle
- Archives and libraries: Workshops set up close to the stacks.
- Civil registers in town halls: Registers digitised without leaving the town hall.
- Monuments and museums: Mobile studios for objects and collections.
- International projects: Local teams trained and supervised.
- Sensitive collections: Documents never leave your premises.
Technical specifications
- Installation: Workstations delivered, assembled and calibrated on site
- Equipment: Cradle and overhead scanners, mobile studios
- On-site requirements: A room out of direct sunlight, with power sockets
- Network: Autonomous workshop, no access to your information system
- Teams: Archimaine operators or trained local teams
- Security: No transport of collections
- Data: Encrypted shuttle drive, post-production in the workshop
- Quality control: Same quality protocol as in the workshop
Du transport au démontage, l’atelier vient à vous.
The same protocol as in our workshops, with logistics handled from start to finish: transport, installation, calibration, production, quality control and dismantling.
Transport
The equipment travels in suitable crates, moved on trolleys by at least two staff. Simple access to the room, for crates of about 90 × 64 × 45 cm, is all we need: we check it with you before we arrive.
Installation and calibration
We install and configure the studio, its computers, cables and server on your premises: a room out of direct sunlight and power sockets are enough, with no access to your network. Target, calibration, then a test approved by you before production.
Digitisation
The same protocol as in our workshops: documents provided in batches, daily calibration, capture, repackaging exactly as received. The collections never leave your building; files leave every week on an encrypted transfer drive.
Quality control and dismantling
An independent team checks every batch, anomalies are reworked at no extra cost and files are delivered on hard drives. At the end, our teams dismantle the workshop and hand the room back to you as they found it.
We bring — The entire workshop.
- Scanners suited to the documents: cradle scanners for registers, overhead scanners for large formats, mobile studios for objects
- Computers, cabling and storage
- Lighting, targets, masks and weights
- At least two staff, plus a manufacturer’s technician if needed
You need — Your premises, nothing more.
- A room out of direct sunlight
- Enough power sockets
- Access for our crates, about 90 × 64 × 45 cm
- A few tables and chairs for preparation
- Wi-Fi is welcome, but we never use your IT network
La sécurité des originaux, avant tout.
No burden on your departments.
The workshop operates autonomously: it does not need access to your IT network, nor does it require your technical teams. We provide computers, cabling and storage, and only use Wi-Fi if it is available.
First-level maintenance is carried out by our teams, and second-level maintenance by the manufacturers, with response times of 24 to 96 hours depending on the equipment.
Your collections never leave your premises.
Documents stay in your building, under your control, for the entire duration of the job. Only the images leave, on encrypted drives.
We keep no copy of the files or documents at the end of the contract, and the job gives us no rights over the images produced. Our professional risks are covered up to €300,000.
Des fichiers prêts à l’usage.
Images produced on site follow the same processing chain as in the workshop, and are delivered to you ready to use.
- Post-production: Cropping, deskewing, clipping and processing carried out in our workshops.
- Metadata and naming: Files named according to your references, index file completed.
- Regular deliveries: Batches delivered every week for checking and approval.
- Formats: TIFF masters for preservation, JPEG for consultation.
Des projets en cours, aux quatre coins du monde.
Our teams set up workshops and train local teams where the collections are: in Europe, Africa, the Indian Ocean, the Pacific and South America.
- Espagne (Europe)
- Tahiti (Pacifique)
- La Réunion (Océan Indien)
- Madagascar (Océan Indien)
- Congo-Brazzaville (Afrique centrale)
- Maroc (Afrique du Nord)
- Tunisie (Afrique du Nord)
- Guyane (Amérique du Sud)
Ministries, town halls and institutions welcome us onto their premises, in France and abroad.
- French Defence Historical Service: Digitisation of maritime volumes and registers within the Toulon archive stores, and mobile studios in the rooms of the Château de Vincennes.
- Library in Réunion: Deployment of an overseas reproduction station to safeguard registers weakened by the climate.
- Morocco workshop: Installation, calibration and commissioning of a turnkey digitisation workshop.
- Brazzaville: A project carried out with a local team trained in our procedures, from document preparation to capture.
- Seine-Maritime Departmental Archives: Digitisation and OCR of archival documents, in our workshops and on site.
- City of Douai: Digitisation of civil registration records and registers.
Frequently asked questions
What is on-site digitisation, and when should you choose it?
It means installing a complete digitisation workshop on your premises: the operators and equipment come to you, and the collections never leave your building. It is chosen for fragile, valuable or sensitive collections, civil registers, museum objects or international projects.
What do you need to set up a digitisation workshop on our premises?
A room out of direct sunlight, with enough power sockets and access wide enough for our crates (about 90 × 64 × 45 cm). Wi-Fi is welcome but not essential: the workshop is self-contained and never needs your network. We bring everything else.
Is the quality of on-site digitisation the same as in the workshop?
Yes, that is our commitment: the same equipment, the same settings, the same checks. Every day starts with a colour target, a test approved by you comes before production, and an independent team checks every batch. Operators sent to you are trained beforehand in our workshops.
How are data security and confidentiality guaranteed?
The documents never leave your building and the workshop does not connect to your network. Files are saved on an encrypted transfer drive, sent to our workshops every week, then backed up on secure servers with integrity checks. At the end of the contract, they are deleted at your request.
How does an on-site digitisation project work, and how is its cost estimated?
Kick-off meeting, a preliminary visit if needed, then transport and installation by at least two staff, an approved test, production with regular follow-up and final dismantling. The cost depends on the number of images, the type of documents and the installation and on-site costs: describe your collection in our quote tool.
